Guiyang Xianfeng: Focusing on “refined” and efficient management to solidify the data foundation of “inventory, sales, and procurement”—A report on the “data entry” phase of preparatory work for the IPO of Guiyang Xianfeng Machine Tool Co., Ltd.

Preparing for the IPO is the top priority for Guiyang Xianfeng Machine Tool Co., Ltd. (hereinafter referred to as “Guiyang Xianfeng”), and the entry of basic “inventory, sales, and procurement” information is a particularly crucial step. By entering data, we can achieve digital management of “inventory, sales, and procurement,” enabling seamless integration of business operations across departments such as procurement, inventory, production, sales, and finance, and facilitating information sharing among all links. This will transform “information silos” into a “data continent,” thereby better meeting Guiyang Xianfeng’s need for high-quality development and promoting a shift in the company’s development model—from scale-expansion oriented to quality-and-efficiency oriented, and from extensive management to refined management.

According to the listing schedule and workflow arrangements, Guiyang Xianfeng is required to complete the data entry, review, and reconciliation of “inventory, sales, and procurement” information by the end of July 2023. Faced with over 12,000 product types and more than 2 million individual items represented by handwritten original data records, Guiyang Xianfeng proactively planned and meticulously organized its efforts. Starting from May 2022, the company assigned over 20 team members—drawn from various departments and units, including college graduates and interns—to form multiple data-entry teams covering areas such as raw material inventory, parts inventory, and man-hours. These teams have been diligently entering, reviewing, and reconciling the data for over 12,000 product types and more than 2 million items.

Faced with challenges such as massive and complex data volumes, missing or inaccurate basic information, difficulties in data entry and recognition, and logical errors that led to repeated rework, the data-entry team members showed no fear and braved all hardships, working overtime to ensure accurate data entry, thorough review, and proper reconciliation. After more than 400 days and nights of relentless effort, the data-entry team has now completed the data-entry phase and is steadily moving forward with data review and reconciliation. With their practical actions, the team has vividly demonstrated the principle: “Though the road may be long, persistence will lead to the destination; though the task may be difficult, success is assured if we put our hearts into it.” As long as we approach problems with dedication and care, there’s nothing we can’t overcome. We are also firmly convinced that, with the concerted efforts and collective wisdom of all the staff and cadres at Guiyang Xianfeng, the journey toward the company’s IPO—though long and arduous—will surely see the dawn of success.

[Data Entry Team—Reflections]

During the year and a half I’ve been working at Guiyang Xianfeng, my job duties have all been closely tied to Guiyang Xianfeng’s listing on the stock exchange—from initially entering basic data to meticulously refining and perfecting the “inventory management” supporting spreadsheets with accuracy, authenticity, and reasonableness. This task involves a huge volume of work and is highly complex; it requires reviewing raw part receiving and issuing slips, product ledgers, and product drawings. Moreover, issues such as missing or inaccurate basic documentation have further increased the difficulty of our work. Overtime has become an everyday occurrence during busy periods—there were times when we worked overtime until 10 p.m. for more than two consecutive weeks. When the accounting firm urgently needed certain materials, we often had to work late into the early hours of the morning, sometimes even staying until 3 or 4 a.m.

During the year and a half I’ve been working here, joy has gone hand in hand with sweat and hard work. I’ve gained valuable experience and grown significantly. I feel proud and honored to have contributed my part to Guiyang Xianfeng’s journey toward listing on the stock exchange. Throughout this process, I’ve witnessed the company’s leadership unwavering commitment to its IPO, seen the company’s strong momentum of development, and glimpsed a bright future ahead—full of promise and positivity. The future looks promising, and everything is full of potential and beauty.

The listing of Guiyang Xianfeng on the stock exchange is a momentous event that marks a leap-forward in the company’s development. As a member of Guiyang Xianfeng, I feel deeply honored to have been part of this journey. Looking back on the past period, I’ve felt more than anything else how busy and exhausted I’ve been—but I’ve never complained. Although lying flat might be the most comfortable choice, that’s not what life is all about for me. I firmly believe that hard work never goes to waste. The road ahead may be fraught with challenges, but I’m convinced that light will eventually shine through. Like a rope sawing through wood or water dripping steadily eroding stone, I’m determined to step up my efforts even further and face any future difficulties with an optimistic and positive attitude.

Looking back on the past year and more of data entry work for Guiyang Xianfeng’s IPO listing, I’ve experienced moments of trepidation—faced with complex data and a tangled web of details—as well as feelings of disappointment when encountering setbacks. There were also the arduous challenges of collaborating closely with colleagues to overcome difficulties, and the joy of logically matching and balancing data. Throughout this process, I’ve learned to analyze calmly, accumulated valuable work experience, and gained new knowledge. More importantly, it’s precisely these precious lessons and experiences that have consistently motivated me to keep pushing forward. I firmly believe that hard work will always pay off, and with everyone’s joint efforts, Guiyang Xianfeng will continue to thrive and prosper.

All kinds of data must be entered manually, and every single number and piece of information is crucial. Only by meticulously performing data entry can we provide essential support and assistance for the company’s public listing. Since I started working, an increasing number of challenges have been impeding our progress, bringing with them an invisible pressure on both our work and personal lives. However, as long as we maintain a learning mindset and adopt a positive, serious attitude, no matter how great the difficulties may be, they will never hinder our forward momentum.

The company’s success and growth are the result of the hard work and dedication of every single employee. With everyone’s joint efforts, Guiyang Xianfeng will achieve leapfrog development.

Everything must be done step by step, in a gradual and orderly manner; otherwise, haste makes waste. Data entry is no different—it requires neither haste nor slowness, and it cannot afford to wait. Instead, we must think carefully, communicate frequently, maintain clear thinking, and ensure rigorous logic. Rome wasn’t built in a day, and the revolution is far from over—comrades still have much work to do. Believe that every effort will eventually pay off, and our company will only get better and better.
