Guiyang Xianfeng: Managing Inventory, Strengthening Management, and Improving Efficiency—Guiyang Xianfeng Machine Tool Co., Ltd. Conducts Material Inventory Work

To further standardize and strengthen asset management, accurately and promptly grasp the stock, structure, distribution, and usage status of fixed assets, and improve asset utilization rates, from February 3 to February 7, 2024, Guiyang Xianfeng Machine Tool Co., Ltd. (hereinafter referred to as “Guiyang Xianfeng”) conducted an inventory of fixed assets and warehouse inventories. Through detailed counting, verification, and registration, the company comprehensively reflected the physical condition and value of its assets, ensuring the integrity of its property and the rationality of its use, thereby helping Guiyang Xianfeng accelerate its path to an IPO.
Carefully organized and collaboratively advanced. To ensure the comprehensive coordination and smooth implementation of this fixed-asset and inventory count, and to strengthen organizational leadership over the counting process, the Finance Department and the Production & Supply Department of Guiyang Xianfeng Asset jointly established a Fixed-Asset and Inventory Count Working Group and held a special meeting to meticulously plan the counting operation. This counting effort is based on the fixed-asset and inventory data exported from the UFIDA U8+ system used by the Finance Department of Guiyang Xianfeng Asset. The equipment—including machinery, instruments, tools, and warehouse inventories—is precisely categorized. Based on these categories, the counting team members have been assigned tasks in strict accordance with the meeting’s requirements, thoroughly covering every area of the company and conducting a comprehensive, item-by-item verification to ensure that the process is not merely superficial and leaves no blind spots.

Conduct a comprehensive inventory to get a clear grasp of the actual situation. During this inventory, members of the inventory team adopted an approach that involved matching physical items against accounting records, verifying each item individually, and cross-checking accounts with physical assets—focusing specifically on Guiyang Xianfeng. Over 600 product models, more than 55,000 parts, and 17 warehouses. A comprehensive inventory and verification of fixed assets and inventories was conducted, with careful checks on asset names, quantities, specifications, models, codes, and storage locations. Based on the detailed data for each asset, a true, standardized, and unified ledger for fixed assets was established, ensuring that every asset is thoroughly inventoried and that “the ledger matches the physical assets and the ledgers match each other.” For any discrepancies discovered during the inventory process—such as overages or shortages, damage or scrapping, or inconsistencies between physical and recorded information—the responsible departments are required to provide detailed explanations of the circumstances involved.

Optimize processes and enhance management. During the inventory process, the inventory task force identified shortcomings in various fixed asset and inventory management departments and put forward corrective measures and rationalization suggestions. At the same time, the task force urged managers to further strengthen the standardized management of warehouse materials in accordance with established standards, continuously improve the level of materials management, and thereby reinforce the internal control system of Guiyang Xianfeng. This will steadily promote the two-way integration and deepening of Guiyang Xianfeng’s logistical support and production operations, ensuring the company’s high-quality and stable development.
In 2023, Guiyang Xianfeng, taking “equipment maintenance” as its foundation, achieved a steady increase in equipment integrity rates. In 2024, it will continue to use inventory checks as a key driver to promote standardization, normalization, and institutionalization of material supply efforts, thereby ensuring the smooth progress of the company’s public listing.
